Minimum Order Quantity

You can now set the minimum order quantity of an article detailed here.

External System Import Program

Can now cater for a Supplier Reference. Also uses the Max Product code length setting to validate the Product code. If it is not valid, the article is skipped.

Supplier Reference

On the Suppliers tab in Back Office → Maintenence → Article you can now set or update the Supplier Reference code detailed here.

Different Standard SEL Layouts

There is now an option to change the standard SEL print. There are 3 different layouts available. 3 x 7, 3 x 9 and 3 x 11. This is a Backoffice option and needs to be configured by Support.

Option Only Allow Open PLUs to use Non-Scan Commodity Groups

Available from 12.1

A new option has been added to the Back Office and Head Office, to only allow Open PLUs to use Non-Scan CG’s (Button Sales). This option is defaulted to false. Support needs to set it if required. This will stop creating or updating any articles that are not Open PLUs, using Non-Scan CGs.

Blocked Suppliers

Available from 12.1

Suppliers that have been blocked will now be visually identifiable in the supplier maintenance screen and the supplier tab on the article maintenance screen by the supplier information being highlighted in a different colour. There will also be a tooltip that tells you what the colour represents.

Suggested Ordering

Available from 12.1

There is a new setting under Back Office → General called “Automatically tidy up Suggested Ordering” when ticked, it will find articles with no stock and no sales for x number of weeks and remove them from suggested ordering. If it is unticked, it will ignore and keep said articles as part of the suggested ordering.

There is a new setting under Back Office → General called “Calculate on order quantity with Suggested Ordering” when ticked it will use quantities from completed orders that have a delivery date greater or equal to Today.

There is s new option on the ‘Select Supplier’ screen called ‘Calculate Average Daily Sales Excluding Reductions’. When selected the Suggested order screen will display both the ADS value and the weekly sales excluding reductions. When running a Suggested Order, the option will be ticked / unticked based on the last running of a Suggested Order.

Glory Auto Import - CI-100 Collection Bag Reference

AVAILABLE FROM 12.2

If the CI-100 has been set up with a scanner to scan the bag when it is being removed, the bag reference will now automatically get imported to the bag reference on a Collect.

Glory Auto Import - CI-100 Bank the Removal of Notes Only

available from 12.2

If the CI-100 accepts both Notes and Coins, there is a setting to only create a banking record for the removal of the notes. The default for this setting is true.

Glory Auto Import - Banking Reference

available from 12.2

On auto-import, the bank reference is left blank. This must be filled in before the banking can be Collected, otherwise, you get an error.

Electronic Invoice Matching

AVAILABLE FROM 12.2

If an invoice/goods received is created via linking to order or imported via CM, it is now eligible for electronic invoice matching.

This allows the update of stock quantities via scanned values instead of delivered values and provides easy visibility of differences between delivered and scanned quantities.

From version 12.4 an update server option is available to turn this off, and from version 12.5 this will be available visually on the Back Office to be updated.

Report Scheduler - First of the Month

AVAILABLE FROM 12.2

There is now the option to run scheduled reports on the first of the month. When setting up a report schedule there is an additional check box called ‘First of Month’ to enable this. It is only possible to select either ‘First of Month’ or the days of the week, but not both. Selecting ‘First of Month’ will untick any previously selected days, while selecting any days will untick ‘First of Month’ if selected.

Article Maintenance Screen Changes

  • 2 new fields were added to the Article Information section, Country of Origin and Quality Class, for use on SELS (see next section below).

  • Some of the items have been moved around to keep the most important ones together.

  • If an article is inactive, this will be included in the header of this section, and the header will be in red to make it more obvious.

New information has been added to show if an article is price matched. If an article is price matched, this will be included in the header section of the Label Price as shown below:

On the History tab if there has ever been a price matched price you will see a new column displaying this information as shown below:

Dept Maintenance Screen Changes

A new flag(checkbox) has been added to the Department Maintenance screen on the Commodity Group tab as shown and highlighted in the image below:

Once ticked/checked and saved, you will no longer be able to move articles to this commodity group on the Article Maintenance screen as it will be blocked, this will be the same for manually creating articles. You can however move them out to another unblocked group and they can be created vis centrally maintained uploads.

You will be notified with the following message if you try to do so:

 

 

Shelf Edge Labels - Produce section added to 3 x 7 Layout

If the new Country of Origin and Quality Class fields in article maintenance are populated, then these will appear on the SEL label.

This is in the standard 3 x 7 layout only!

Ordering - Adding Articles from a Different Supplier

For ordering on the Back Office, there is a new setting to block the adding of articles to an order, that is not from that supplier. Please contact Support to get this setup. This option will block the articles on the article search screen and via the Quick Add on the Layaway screen.

There have also been changes made to the Layaway screen if you are using the setting. Any articles that are not currently supplied by the Supplier you are creating the Order for, will be highlighted by RED text.

CDC - Product Level Blocking

Ordering - Old Add to Order screen is removed

Shortcut Buttons For Articles or Groups

Simple Sales Export Uncommitted Service Lines Flag

There is a new field against the lines of the Simple Sales Export, which flags a line of a sale transaction as uncommitted to the service. This will affect extracts that utilise the Simple Sales Export, such as the RIS transactions export. For further information see

SELs - Exclude the Article Size from the SEL Description

There is a new option added to allow you to include or exclude the article size from the SEL description. Previously the size would always be included in the SEL Description, you can now use this setting to turn that off.

Fuel Bunkering - Specific Fuel Grades Owned by Card Provider

available from 12.3

Fuel bunkering cards can be configured on the Back Office Fuel Maintenance screen to support only diesel (or other specific fuel grades) not being owned by the retailer.

This allows the automatic reporting of specific fuel grade sales to reflect that the retailer doesn’t own the fuel.

Enforce Account Receipt Printing

There is a new setting on the Back Office under Global Till Options → Receipts called “Enforce Account Receipt Printing” when ticked; if auto print after the sale is turned off, this setting will be used to determine if the duplicate print should happen for account payment receipts. When ticked, it will print, and when not ticked, it will not print.

If auto print after sale is turned off and Enforce Account Receipt Printing is true, this will now suppress Credit Account payments that are verified by pin.

Henderson Invoices

Available from 12.4

Henderson invoices now come down with a Delivery Date and an Invoice type in the file. The Delivery Date will be recorded on the Goods Receiving screen for that Invoice. The type determines if it is a normal invoice or a clearance invoice.

Available from 12.5 Patch 12

With the new stock file that may come down as part of a Henderson Invoice. The system will now check to see if that article has associated barcodes and if it does it will remove them.

Nisa Promotion ID setting

A new setting has been added to narrow the Promotions loaded to Leaflet lines only.

Excel Promotions

New functionality has been added to allow uploading of promotions via an excel document. For more information see .

Price Embedded Barcodes - 23 Prefix

available from 12.4

A new setting has been added to support the importing of barcodes with a “23” prefix as price-embedded barcodes. These 13-digit barcodes will be imported as 7-digit barcodes, with digits 1-7 being stored as the barcode.

When the setting is enabled, and such articles are scanned at a till, digits 9-12 will be extracted as the 4-digit price in the format 99.99 (e.g. £99.99). This works identically to the existing option for “20” prefixed price embedded barcodes.

CJ Lang Order Blocking

Version 12.4 adds support for automatic order blocking of articles referenced in CJ Lang product files with a RecordType value of "0". Prior to version 12.4, such articles would be deleted rather than be blocked from ordering, and could therefore no longer be scanned at tills.

SPAR Hub Local Promotions

External System Import Program Changes

Deals

AVAILABLE FROM 12.5

A new setting has been added to the General tab of both BO & HO Shop Options to determine how deals that may result in an overcharge or negative discount are handled. The setting can take one of three values:

  • Blocked - where overcharge / negative deals will not be added to the system.

  • WarningDisplayed - where a warning will be displayed to the user if an overcharge deal is encountered, with the user deciding if the deals should or should not be added.

  • Allowed - where overcharge deals will be imported with no warning.

When adding deals via the Deals Add Wizard the setting is applied to the ‘Mix Match’, ‘Reduction’ and ‘Meal Deal’ deals; when adding deals via the Excel Import the setting is applied to ‘Mix Match’ deals.

Regular Expression Support for the External Trigger

Excel Deal Import

Reporting Departments for PayPoint Mobile Topups

New settings were added for reporting PayPoint Mobile Topups to the BO and HO. The Services Reporting department has been renamed Main Services Reporting Department and extra settings added for PayPoint Mobile Topups. These default to the CG used by Henderson’s. If this CG does not exist, the Mobile Topups will report in the Main Services Reporting Department. For Henderson’s PayPoint transactions are reported on 2 different CGs. This allows Wholesalers that are not Henderson’s to do the same, or just use the Main.

Credit Limit Authorisation Level

There is a new setting on the BO and HO to set the authorisation level that a user must have in order for them to be able to amend the Credit Limit of a customer in Customer Details. This setting will default to 'Restricted'. It is found in the Authorisation tab of the Options screens.

Excel Price Exports as Import Format

There is a new setting on the BO and HO that will change the Article Search screen into a Bulk Article Change screen and allow Excel Price Exports in the same format that they are imported. You can find more information here .

Deliverect

Price Change Type/Update Type

The price change type/price update type available via Margin Audit has now been added to the History tab of Article Maintenance, and additional types are now available to give further detail of the source of article prices, supplier prices, adjustments, and tax updates for articles. Stock Transfer

For HO-connected BO the default status filter has been changed to Active. This status incorporates both “Open” and “In Transit“ status when filtering.

Transaction Viewer Highlights Payout transactions linked to a Sale

On the transaction viewer PO transactions that have been created from tenders on another transaction are now highlighted by purple text and a Parent Tx No that is visible on the grid. This will apply to Payouts created from PayPoint payouts and Payouts as Tenders.

Message Trigger .Wav files

It is possible to load .Wav files to be played when a message trigger is shown. The wav file will be loaded into the database and does not need to be copied onto the till to run. More information on message triggers can be found here

Shop Groups

You can now assign shops to retail groups for bulk editing as described here.

Shop Profiles

You can create shop profiles at a head office and assign stores to them. The profile will restrict the ordering of articles at a back office via commodity groups but will allow specific articles to override them or block suppliers from the back office. More information can be found here

Filter Shops

If there are a lot of shops, you can now filter by typing shop number, name etc, into the shop selection field in the status bar at the bottom left of the screen. You can also do this in the stock transfer shop selection fields and the reports retailer fields.

Improved SEL Narrative from HO change

The narrative descriptions of SELs generated by product and price changes from HO have been improved.

Services Reports Department Options

Block scale and weighted Articles from being multiplied on the till

Any 02 or 20 barcode set to scale or weighted will be blocked from having the line multiplied on the till. When blocked a message will be shown to explain why.

Quick Tender Button Authority Levels

Available 12.3

Authority levels have now been added to the Quick Tender buttons. These can be set up via the Tender tab of the till options. A new Authority Level of ‘Not Setup’ has been added to bypass the need for authority levels to be used. On installation, any ‘Sum Up’ quick tender button will be set up with an authority level of ‘Manager’.

Credit card decline colour change

The credit card decline message has been updated to show in red to help highlight a decline to the cashier

Extended display portrait configuration

The new portrait configuration has been added to the extended display, which changes the components on the screen to be stacked to better fit a vertical screen.

Price Embedded Barcodes - 23 Prefix

A new setting has been added to support the scanning of barcodes with a “23” prefix as price-embedded barcodes. Gempay Loyalty

Available from 12.4.5

For stores using the Gempay terminal, there is a new option to enforce that fuel is included in a basket in order to send the loyalty request for non Credit Card tenders. This setting will default to true. For Esso stores, this setting should be set to false to allow Nectar loyalty to be applied when no fuel is purchased. The setting is found in On BO → Options → Global Till Options → General:

Credit Account Lookup Speed improvements

The speed of credit account lookups on the till has been improved for large datasets.

PayPoint Payouts allowed as part of a Sale with other Items

Available from 12.5

PayPoint payouts such as an I-MOVO no longer has to be done in a separate transaction, it can be in a basket with other sale lines. See for more info. These are treated as minus lines in the transaction and create a Payout tender when the transaction is completed.

Default PayPoint Payout Reason can now be used by anyone (was restricted to REST import)

You can set a default PayPoint payout reason which means the cashier doesn’t have to select a reason each time. This reason needs to be set up in Explanation Codes and can be called anything.

The code then needs to be populated in the Service Reason Code setting in Global Till Options.

Tender Display updated for Payouts

When a transaction results in a payout to the customer, the tender display now shows Pay Out.

Loyalty Circle K changes

Employee Authorisation using a barcode

Declined credit card alert change

The declined credit card alert has been moved from the end of the credit card transaction to earlier in the process. The system looks for a preset list of declined keywords in the messages coming from the terminals and triggers the credit card failure response.

Linked Scales with Self Checkout

Send To Wastage from till

Reports

Stocktake Reports - Variance Calculation

Available from 12.1

There is a new option to change how the variances are calculated on the stocktake reports. This needs setup by Support.

There are 3 options:

  1. Treat Minus Stock As Zero
    (The Default setting and how the reports worked previously)
    This means if you had an opening stock that was a minus figure, it was treated as 0 when calculating variances.

  2. Show Minus Stock Variance Count Only
    This means if you had an opening stock with a minus figure when calculating the Stock Qty Variance, the figure is used as it is. The Stock and Retail Value variance is still treated as 0.

  3. Show Minus Stock Variance Count And Value
    This means if you had an opening stock with a minus figure when calculating the Stock Qty and Stock and Retail Value Variances, the figure is used as it is.

Order Print Report

The order print report has been updated to show any lines ordered in units, in a separate section.

Fuel Card Transaction Report - Excel version

Goods Received Print Report

The goods received screen on the BO now contains a new column that will show the Delivery Date for Hendersons ONLY.

Gap Check Reports

Available from 12.3

New Gap Check reports will be made available as part of the new Gap Check Analysis process available on the Hand-held units. On the Back Office these reports will be:

Gap Check: This will display Gap Check information for the selected date range. It is available in PDF and Excel versions, with the Excel version providing more detail.

Gap Check Picklist: This will be run by employee and will show the current picklist for that user, along with a scannable barcode. Only employees with a current picklist will be available for report selection.

On the Head Office these will be:

Gap Check / Gap Check (All shops): these are the same as the equivalent BO report.

Order Print Report

Available from 12.3

From version 12.3 the Order Print report will contain a barcode image which can be scanned using the handset.

New Articles Report

Available from 12.4

From version 12.4 there is a new report called “New Articles” this will allow you to see all articles created within a date range. There is an option to show articles that were created that are inactive as well. Excel version is also available.

Available from 12.5

From version 12.5 there is a new report called “Article Stock”. You can see stock information on active articles. The report will also contain scannable barcodes for the articles generated in the report.

SEL Print Report

Available from 12.4

From version 12.4 the SEL Print report will now support 23 barcodes in the same way as 20 barcodes.

Staff Discount Report

Available from 12.6

From version 12.6 the Staff Discount report will now display Card Owner and Card Number information.

Stocktake Adjustments Report

The Stocktake Adjustments report will now display stock that has been adjusted via the Gap Check Process. These articles will have a location of ‘Gap’.

Stock Transfer Summary

The Stock Transfer Summary report will now display a “Department Transfer In” section’ allowing you to see where stock is moving to between departments. There are now 2 summary sections at the end of the report, one for store transfers and one for department transfers.

New Label on Standard SELs 3x7 to Support the “Not For EU” Requirement

A small label, restricted to 12 character can now be added to the Standard 3x7 SELs. This label is a setting and needs to be populated by Support.

Email Address for reports

When sending an email via the Reports Module, a history of the last 10 email addresses is stored. These can be used to quickly send an email to your frequently used addresses.

 

Run Reports in Background

When running a report via ReportViewer, you can now run the report in the background to save time. This will run the report and send it to the selected email once the report has been completed.

Working alongside the Electronic Invoice Matching in the back office, it is now possible to scan a GRN that has already been created in the back office showing expected results and lines left to scan.

Gap Check Analysis

It will now be possible to use the HHU to scan articles that have gaps in their shop floor stock, storing the floor stock value for each article. Each gap recorded will be added to a picklist that can also be accessed via the HHU. The picklist - which is restricted by employee and date - can then be used to record the store stock of the article and those users with the required authorisation level will able to update overall system stock accordingly. A Gap Check audit will also be made available on the HHU, alongside both BO and HO reports.

Authentication

A new authentication mechanism has been added to allow access to the REST API. An APIKey should now be passed within the header of any API request, rather than the REST username and password. This key will then determine if the user has access to the particular entry point. For users with a REST username and password setup, the current password will become the APIKey upon upgrade with access to all entry points initially granted. The support team will be responsible for adding any new access or for updating any existing access via the ‘REST Authentication’ process available within the ‘Setup’ process.

Article Active Flag
